How to Filter for Different Student Groups
The Data Warehouse metrics are able to be filtered many different ways. If you select the blue “Filter Data” button in the top left, you can filter by fields like ethnicity, grade, SPED, EL, Foster, Homeless, or even cohorts that you create on your own. This allows you to focus on certain groups of students for all of the metrics. When you want to clear the filter, you can click the x next to the filter that is selected along the top.
Finding Your Chronically Absent and At-Risk of Being Chronically Absent Students
On the Summary screen, you will see a metric called “Level of Absenteeism by Year – % of Students”. If you click on the red part of the bar chart for 20-21, a list of your chronically absent students will be displayed. If you want to know who your “bubble” students are, those who are absent 5-9.9%, you can click on the orange part of the bar chart and get a list of those students.

Drilling to a Student Heat Map on Metrics
A mapping feature is available on the Data Warehouse that will geo-map your students. For example, with this feature, you can map where chronically absent students live to see if any large clusters exist and brainstorm about ideas to get this group of students to school. The following five metrics now have this mapping feature:
- Engagement > Student Attendance > Unexcused Absences for Last 30 Calendar Days
- Summary > Enrollment > # Currently Enrolled Students
- Summary > Enrollment > # Currently Enrolled Students by Ethnicity and Grade
- Engagement > Student Attendance > Level of Absenteeism by Year – % of Students
- Summary > Special Education Students > Special Education Programs > Special Education Disability Types Count
To see the mapping, first go to the metric you would like to map. Right click on the chart, and this popup will appear; click on “Drill to Student Map”
This will then display a heat map of where your chronically absent students live. From this screen, you can also change the filter to show where your “low” and “middle” absent students live.
View In-Progress Grades
To view in-progress grades on the Data Warehouse, go to the metric located by going to Access & Readiness > Summary > In-Progress Grades. In the student drill down, you will be able to view teacher name, course name, and marks.
For elementary school principals, your teachers must have first set-up their gradebook to calculate in-progress grades for them to show in the Data Warehouse. Here are some instructions on how a teacher can do that if they have not already:
- In Infinite campus grade book, open grade book settings
- Select “Grade Calc Options”
- Change the “Type” to “Proficiency Estimate (Rubrics)
- Change the “Method” to “Power Law”
- Click “Save”
This will need to be done for each section: HR, ELA, ELD, Math, Science, and SS. Once this is done, data will be pulled into the Data Warehouse and will be viewable in the In-Progress Grades metric.
View Suspension Rate
Have you ever wondered what your school’s current suspension rate was? There is a Suspension Rate Metric on the Data Warehouse under Engagement > Discipline > Suspension Rate by Cumulative Enrollment where you can see your most up to date school suspension rate as well as the suspension rate for the past three school years. You can also drill down to a student list to see which students at your school have been suspended this year.
Suspension rate is calculated by dividing the total number of unique students suspended by your cumulative enrollment. The rate for 2017-18 will continually change based on the number of suspensions and the number of enrollments at your school through the end of the year. At this point, half way through the year, the suspension rates may look low because the cumulative enrollment won’t change much over the next five months but the total number of students suspended could increase in the second half of the year.
View Final Term Grades
Since we are now on a quarter based grading system for all secondary schools, you will find final grades under Quarter 2 this year instead of Semester 1 as in prior years. Quarter 2 (Secondary) have now been posted and will display in metrics found by going to Access and Readiness > Term Grades.
There are several metrics that you can view from this dashboard.
- Number of students with 1 or more Ds or Fs
- Number of students with 1 or more Fs
- Distribution of grades
- Student weighted cumulative GPA
- Grade distribution by core subject – 2017-2018
The student drill down allows you to see staff name, course name, period, and final mark. These metrics can all be exported by going to the top right and clicking on Export Detail so you are able to export into a .csv file and sort.
View CAASPP Distance from Met
Some students are mere points away from meeting standards on the annual CAASPP ELA and Math assessments. On the Data Warehouse, you can view an interactive bubble graph that displays distance from meeting standards. To do this, go to Access & Readiness < Student Achievement < CAASPP – Distance from Met. Here, you can select how you want the graph displayed; by race, gender, ELL indication, or SPED indication. You can also view previous years and switch between ELA and Math.
To see a list of students and how many points away they were from meeting standards, you can drill down to a student list and sort by “Distance from met”. You can also export this list or create a cohort of students who are on the cusp of meeting standards to look for patterns or track an intervention you have in place to help these students meet standards this year.
View Students Enrolled in Athletics
There is a new filter called “Special Course” where you can filter for students enrolled in Sports.
Once you have selected and applied the filter, all of the metrics now only show information pertaining to those students who are enrolled in athletics courses in Infinite Campus. You can see a student list of who those students are, their grade level, demographic information, attendance, marks, assessment scores, and much more.
You can easily see how many of your students are enrolled in athletics courses by looking at the metric “Students Enrolled Today” on the Summary dashboard.
Increased User Access for Principals and Teachers
Access in the data warehouse has been expanded to give you more tools to support your current and future students. In the data warehouse, principals are now able to view student data across all of our schools. This will allow you to view your incoming students and work collaboratively with your colleagues as you view comparative data between your schools. Since you have full access, when you login, you will see data for the entire district. To view metrics for just your school, select your site in the “School” filter and click “Apply”.
Teachers now have access to see all students at their school site. This expanded access is meant to assist teachers with their PLC’s for data analysis, student support, program evaluation, and planning purposes.
Select a Date Range for Discipline Incidents
There is an option to select a date range for metrics related to incidents so you can analyze your discipline data for a range of time that you choose.
There are currently two dashboards on the Engagement tab that have this feature; ISS, Susp, Expul Review and Discipline Analysis. Once you enter the begin and end date range you would like to analyze, the metrics will refresh. This will allow you to view differences week to week or before and after an intervention that has been implemented at your site.
Finding Students who have not Completed Independent Study Work
On the Full Day Absences by Reason metric, you can easily find a list of students who have not completed their Independent Study work. To get to this metric, go to the Engagement > Student Attendance dashboard and then scroll down to the Full Day Absences by Reason metric. Click on the bar chart that represents students with “Independent Study not Complete” to drill down to the student list.
This list will show you the student name, grade level, and how many days of incomplete independent study absences they have so you can work with each student to get their work complete.
