Long-term subs covering teacher or clerical roles needing access to Infinite Campus will be processed in much the same way as permanent employees. NOTE: Daily subs for teachers are not set up with IC access and are given paper rosters by the school site to record attendance for the day.
The process for sub access is initiated by a work order from HR. School sites may connect with HR to ensure the process has been started if they have any questions/concerns—any direct requests from school sites for access will be referred to HR.
When HR has cleared the sub and given him/her an assignment, HR will submit a work order for program access for the sub. These work orders are first processed by IT, giving the sub a Google/Gmail account (or reactivating one) and login credentials to log into the NUSD network.
After processing is completed by IT, the work order will be routed to Research and Data (RD) for the creation or reactivation of an employment assignment and user account access in IC. IC accounts for NUSD staff are synced to Google and network accounts, so IC accounts will not be set up until Google and network accounts are created by IT.
NOTE: Access in IC is role- and task-based, so access will be granted based on the assignment information provided by HR. There is no “generic” or “admin” access. School sites may be contacted by RD for more information about specific tasks needing to be completed by subs if the assignment info provided by HR requires more clarification.
Once an IC account for a long-term sub has been created/reactivated, HR will be informed via the work order. If the long-term sub is filling in for a teacher, he/she is now ready in IC to be scheduled.
It is the responsibility of one of the schedulers at the school site to add the long-term sub teacher to the course sections he/she is covering. Long-term sub teachers will be able to log into IC as soon as their accounts have been set up, but they will not be able to see attendance or grades until the site has scheduled them, thereby giving them access to specific course sections.
Generally, a long-term teacher sub will be added to course sections as an additional teacher (“New Teacher” and not “New Primary Teacher”) keeping the regular, permanent teacher as the Primary Teacher of record.
