Duplicate People
- Compare email, cell phone, relationships, and household info to determine if people are the same.
- Submit work order to have person records merged.
- Include name(s), personIDs, and note which person record will be primary.
- Ex: “Merge John Smith 12345, Jonathan Smith 98765, and Jonathan Smith *45678.”
- When information on the records is not identical, the primary records will overwrite the others.
Duplicate Households
- If you have a family in multiple households at the same address that need to be merged, select the household you wish to keep and add any missing members to it.
- End-date JUST THE STUDENTS from the other households to ensure their records are accurate. Do NOT end-date the address or any other members.
- Submit a work order to have the other households deleted.
- Include the household name, householdID, name of someone in the household, and the address.
- End-dating all info in a household prevents it from being searchable.
- Households cannot be pulled up with the householdID alone.
- As households are designed to span multiple schools, searching a household always searches district-wide.
A Note About Work Orders:
Please closely monitor your work orders and the email responses from the Track-It Work Order system. Questions, requests for further information to complete the work order, and notes are often included in these emails.
