It is the responsibility of school site staff to post grades to transcripts after each non-progress term for middle and high school students. Below are the terms for which grades need to be posted to transcript:
- American Lakes, Bannon Creek, Heron, Jefferson, and Paso Verde (7th and 8th grades only)
- Trimesters 1, 2, and 3
- Natomas Middle School
- Quarters 2 and 4
- Inderkum and Natomas High
- Quarters 2 and 4
- Discovery High and Leroy Greene Academy
- Quarters 1, 2, 3, and 4
Before running the “Transcript Post” tool, check with your principal to ensure that the grading window has been closed and that teachers are no longer posting grades in their grade books. You can run the grades report (Index > Grading & Standards > Reports > Grades Report) to make sure that all grades have been posted by all teachers.
The “Transcript Post” tool can be run multiple times for a term in order to post additional/new grades. However, a grade that has already been posted to transcript will NOT be updated by posting to transcript again whether or not the grade has been changed by the teacher. Grades already posted to transcript that need to be corrected or updated have to be manually changed by the registrar. Instructions for a grade change can be found here.
The “Transcript Post” tool is found in the Index under “System Administration > Student Portfolio > Transcript Post”. Only school site staff with Registrar rights have access to this tool.
To post grades to transcript:
- Select the calendar for which to post grades to transcript (for K-8 schools, be sure to select the middle school calendar).
- Select the credit group(s). This will be “MS credits” for grades 6-8 and “HS credits” for grades 9-12.
- Select the term.
- Uncheck the “Post Score Comments to Transcript” (unless your site has been instructed to post comments).
- Select the students for which to post grades to transcript by choosing grade levels or an Ad Hoc filter or Course/Sections. This will usually be done by grade levels.
- Click on “Run”. When the process is finished (this may take several minutes), a confirmation message will display indicating how many grades were posted.
- Click the “OK” button when finished.
